One status per document, clear rejection reasons and kept versions: why document-by-document review speeds up approval and secures your decisions.
Approving or rejecting a whole file means starting over at the slightest problem. Document-by-document review puts the decision exactly where the problem is.
Each document has its own status
An approved document keeps its status, even if another one is rejected. The applicant only replaces what is wrong, and your team does not check again what is already fine.
Reasons you define
You set up your own rejection reasons: unreadable, expired, incomplete, not matching the applicant… Their wording stays stable in the history, even if you change it later.
Versions rather than replacement
A corrected document creates version V2, then V3. The previous one stays available with its decision. In case of dispute or audit, you know what was received, when, and who decided.
Information too
A piece of information entered by the applicant, such as an SMS sender name or a contract number, can be reviewed the same way, with its own reasons.
An intermediate opinion when needed
For files that go through several people, the “Positive opinion” status allows a first opinion before the final decision.
